# Review your Order

Each purchase order has two tabs: **Internal Details** and **Order Details**. Use Internal Details to track logistics, costs, documents, and team communication. Use Order Details to review and edit the order itself.

## Internal Details Tab

The Internal Details tab is your operational hub for a purchase order. It contains five sections: Order Management, Landed Cost, Documents, Tasks, and Activity.

### Order Management

The Order Management section lets you record shipment tracking information for the order:

* **Tracking Number** *(optional)* — Enter the carrier tracking number once the supplier ships the order. This keeps your team updated on where the shipment is.
* **Container Number** *(optional)* — If your goods are shipping in a freight container, record the container number here for reference.

### Landed Cost

Landed cost captures the true total cost of receiving an order beyond the product price itself. Enter the following cost fields:

* **Freight** — Transportation and shipping fees
* **Warehouse** — Any warehousing or storage fees associated with the order
* **Processing** — Handling, customs, or administrative fees

As you enter each cost, they automatically sum to a **Landed Cost Total** line. The grey summary box at the top of the section reflects the updated total.

Currency is based on the purchase order's supplier currency. To change your master currency, click the highlighted settings option and select from the dropdown.

### Documents

Upload files related to this purchase order directly to the order record. Supported file types include CSV, PDF, and Excel. Common documents to attach:

* Invoices
* Proforma invoices
* Tracking or shipping confirmations
* Any other order-related paperwork

This keeps everything in one place so your team can access order documentation without hunting through email.

### Tasks

The Tasks section is an internal checklist for tracking what needs to happen with this order. Click **Add a Task** to create a new item — press **Enter** to save it.

Use tasks to build a simple order workflow, for example:

* [ ] Order created
* [ ] Order paid
* [ ] Order shipped
* [ ] Order in transit
* [ ] Order received

Tasks are flexible — add whatever steps match your internal process. Check off each task as it's completed to keep the order moving forward.

### Activity

The Activity section is a running comment feed for your team. Use it to log updates, flag issues, or leave reminders about the order. Examples:

* *"Shipment will arrive early — notify the warehouse team."*
* *"Order is running late due to port delays. Expected new delivery date: next Friday."*
* *"Supplier confirmed payment received."*

Leave a comment by typing in the field and submitting. The feed is timestamped so your team has a clear record of what happened and when.

## Order Details Tab

The Order Details tab shows a full summary of the purchase order as it was created — line items, quantities, prices, supplier, and PO metadata.

### Review Your Order

Use this tab to confirm everything looks correct before sending the order to your supplier. You can see all items added to the PO, their quantities, and the order totals.

### Edit Your Order

If you need to make changes, click the **Edit Order** button near the top of the page. This reopens the order for editing and lets you:

* Add new order items
* Edit existing order items (quantities, prices)
* Update PO details:
  * **PO Identifier** — Your internal purchase order number or reference
  * **Order Date** — The date the order was placed
  * **Supplier** — The supplier fulfilling the order
  * **Supplier Currency** — The currency used for this order

### Send Order to Supplier

Once you've reviewed and finalized the order, click **Send** to email it directly to your supplier. Enter the supplier's email address and click Send.

Click the **arrow** beside the Send button to email or export your PO as a PDF or CSV.

### Archive an Order

On the Orders page, click the three-dot menu at the end of any row and select "Archive".

## Understanding Order Status Columns

The Orders list page displays two status columns to help you track both the administrative state and delivery progress of your purchase orders:

### PO Status

The **PO Status** column shows the administrative state of your purchase order:

| Status        | Meaning                                       |
| ------------- | --------------------------------------------- |
| **Draft**     | Order is being prepared and not yet finalized |
| **Placed**    | Order has been sent to the supplier           |
| **Delivered** | Order has been received into your warehouse   |
| **Archived**  | Order is closed and no longer active          |

PO Status can be updated manually or synced automatically from integrations (NetSuite, Unleashed, etc.) if you're importing purchase orders from those systems.

### Shipment Status

The **Shipment Status** column automatically tracks delivery progress based on your delivery date and current PO status:

| Badge                 | When it appears                                         |
| --------------------- | ------------------------------------------------------- |
| **On Track** (blue)   | Active order with a future delivery date                |
| **Overdue** (red)     | Delivery date has passed and order is not yet delivered |
| **Delivered** (green) | Order has been received (PO Status is "Delivered")      |
| *(no badge)*          | Draft or archived orders                                |

Shipment Status updates automatically—you don't need to manually set it. It helps you quickly identify orders that need attention, especially overdue shipments.

## Bulk Order Management

Instead of updating orders one at a time, you can select multiple purchase orders from the Orders list page and update their status or delivery warehouse in a single action.

### Select Orders for Bulk Update

On the Orders page, check the **square checkbox** in the far-left column of any row to select that PO. You can select as many orders as needed. Once at least one order is selected, two action buttons appear at the bottom of the page:

* **Update Status**
* **Update Warehouse**

### Bulk Update PO Status

Click **Update Status** to change the status of all selected orders at once. Choose from:

| Status        | When to use                                   |
| ------------- | --------------------------------------------- |
| **Draft**     | Order is being prepared and not yet finalized |
| **Placed**    | Order has been sent to the supplier           |
| **Delivered** | Order has been received into your warehouse   |
| **Archived**  | Order is closed and no longer active          |

Use bulk status updates when you receive a shipment covering multiple POs, or when moving several draft orders to placed after a buying session.

### Bulk Update Delivery Warehouse

Click **Update Warehouse** to set or change the delivery warehouse for all selected orders at once. The dropdown will show the warehouses you have created in Moselle. This is useful when reassigning a batch of orders to a different fulfillment location.
